Swarthmore Global Travel

Swarthmore is committed to supporting the health, safety, and security of our community (students/faculty/staff) who engage in research, teaching, and learning all over the world.

The College’s International Travel Risk Management Committee (ITRMC) and the Global Engagement Office (GEO) work in partnership with offices across campus to provide travelers with the resources and information that they need to prepare effectively for Swarthmore Global Travel.   Among other services, this support includes: navigating pre-trip requirements, administering the International Travel Policy, and collaborating with International SOS (Swarthmore’s global assistance partner).  

What is Swarthmore Global Travel?

Swarthmore Global Travel is college-funded and/or college-affiliated international travel. More specifically, trips are considered Swarthmore Global Travel when at least one of the following criteria applies: 

  • Student travel that is funded, in full or in part by Swarthmore or Swarthmore-managed funds (summer funding, grants, endowments, fellowships, financial aid, etc.)
  • Student travel for semester or academic year Study Abroad programs approved through the Global Engagement Office.
  • Group travel by Swarthmore student/staff/faculty, including teams, clubs, organizations, or ad-hoc delegations.
  • Travel that is accompanied by a Swarthmore faculty or staff member acting in his/her role as a Swarthmore employee.
  • Travel undertaken as part of a Swarthmore course, Tri-Co/UPenn course, or other credit-bearing activity.  This includes short-term study trip courses.
  • Faculty/Staff travel undertaken within the purview of employment at Swarthmore (teaching, conference-attendance, research, recruitment, alumni engagement, etc.)
  • Other travel on a case by case basis that is officially recognized by Swarthmore relative to a purpose of travel within the scope and mission of the College. 
What is not Swarthmore Global Travel?

Trips do not qualify as Swarthmore Global Travel when the purpose of travel does not meet the scope and mission of the College.

  • Personal travel such as vacation
  • Study abroad during the summer that has not been awarded Swarthmore funding for summer opportunities.
  • Students traveling internationally while on Leave of Absence
  • Individual or group travel by students that is lacking administrative oversight and/or that is not related to a recognized organization.
How does the Global Engagement Office (GEO) support Swarthmore travelers internationally?
  • GEO works closely with on-campus stakeholders to craft plans for mitigating risks through intentional program design.
  • GEO mitigates risks to student health and safety by aiding student decision-making through comprehensive advising, pre-departure orientation, and re-entry debriefing.
  • On request, GEO can deliver tailored pre-travel briefings and informational materials related to health/safety, logistics, insurance and other practical matters.
  • GEO can provide faculty/staff with guidance on identifying partners and best practices for pursuing opportunities in foreign locations.
  • GEO supports and administers the Travel Registry.
How does the International Travel Risk Management Committee (ITRMC) implement risk management for Swarthmore Travel?

The ITRMC is intent on protecting the academic freedom of global scholarship and research as well as facilitating global engagement of faculty, staff and students while supporting the creation of safety measures to mitigate the risks associated with international travel.

  • The ITRMC serves as the centralized resource for risk assessment and management related to Swarthmore Global Travel (study, research and engagement).
  • The ITRMC develops policies and procedures concerning international travel by members of the College community and disseminates appropriate information and resources.
  • The ITRMC strives to raise awareness about safe travel.
  • The ITRMC works with travelers to appreciate travel risks and to develop plans to mitigate those risks.
  • The ITRMC makes recommendations following careful consideration of requests regarding Swarthmore Global travel, including Elevated Risk travel.
  • The ITRMC monitors alerts, geopolitical developments, and global risk ratings to communicate global safety guidelines for travelers engaged in Swarthmore Global Travel. 
What travel medical insurance and/or emergency assistance is provided to participants during Swarthmore Global Travel?

All students, faculty, and staff (who are approved/registered) on Swarthmore Global Travel will be enrolled for travel medical insurance and will have their trip registered for 24/7 global assistance through International SOS. Please note, this service is provided for international trips only.
